This addendum applies to employers, recruiters, staffing firms, search firms, agencies, and other posting entities that receive, access, process, download, export, search, message, or otherwise use applicant, candidate, resume, or profile data through the Platform.
1. Permitted Use
You may use applicant data only for legitimate recruiting and hiring purposes connected with the specific role, talent search, or candidate relationship for which the data was provided, and only in compliance with applicable law, these Terms, your privacy notice, and any agreement with RoleLantern.
2. Prohibited Use
You may not use applicant data to:
Sell, rent, license, disclose, or transfer applicant data except to authorized service providers acting on your behalf for lawful hiring purposes;
Create unrelated marketing lists, sales leads, investor leads, patient leads, clinical trial recruitment lists, or promotional audiences;
Train, improve, or validate AI models unrelated to the specific hiring process without lawful basis, required notices, and written authorization;
Make unlawful discriminatory decisions or infer protected characteristics in violation of law;
Conduct background checks, credit checks, reference checks, drug tests, medical inquiries, biometric processing, or immigration checks without required authorization, notices, and legal basis;
Contact candidates for unrelated jobs unless the candidate opted in or the communication is otherwise permitted by law and Platform settings;
Harass, spam, stalk, retaliate, or contact candidates outside reasonable hiring purposes.
3. Security and Retention
You must maintain reasonable administrative, technical, and organizational safeguards for applicant data. You must limit access to personnel and service providers with a legitimate need to know. You must retain applicant data only for as long as lawful and necessary for recruiting, hiring, compliance, dispute resolution, and recordkeeping, and then delete or anonymize it according to your retention policy and applicable law.
4. Applicant Requests and Legal Compliance
You are responsible for responding to applicant requests that relate to your own processing of applicant data, including access, deletion, correction, opt-out, restriction, portability, accommodation, record retention, and other rights where applicable. You must cooperate with RoleLantern when needed to address privacy, security, legal, or regulatory requests.
5. Breach and Incident Notice
You must promptly notify RoleLantern at support@rolelantern.com if you know or reasonably suspect that applicant data obtained through the Platform was accessed, acquired, disclosed, altered, lost, destroyed, or used without authorization, or if your account credentials are compromised.
